Donations to the OUSL Library Network

Libraries in the OUSL Library Network welcome donations of rare, special or personal collections of books and other information materials that are in line with our existing collection. Our rich and diverse collection supports teaching, learning and research as well as life-long learning. We also have a curated collection of fiction for leisure reading.

Step-by-Step Procedure

How to make donations

To ensure that the donations are suitable and beneficial, we follow a streamlined process. Donations may be made through the Main library or the regional libraries in Kandy, Matara and Kurunegala. Please note that we do not accept walk-in donations without prior communication.

Submission & Evaluation Requirements

Donors are requested to submit a detailed list of proposed materials by completing the form. The library will evaluate the list to determine suitability. In some cases, we may request photographs of the materials to assess their condition.

Criteria & Standards

Evaluation process

Donations are reviewed based on their relevance to the academic and research needs of faculties. Generally, we accept scholarly materials that support teaching, learning and research.

We do not accept
Unsuitable Material Criteria
Duplicate materials Items already held in stock
Old editions Superseded academic versions
Materials with obsolete content Outdated information or data
Photocopied, damaged or defaced materials Non-original or physically worn copies
Governance

Final Authority

Final decision regarding the acceptance rests with the Librarian of OUSL.

Recognition & Records

Acknowledgement of Donations

The library will issue an official acknowledgement to donors whose materials are accepted. With the donor's permission, significant donations may also be recognized through appropriate Library or University communications. Donor information will be recorded in the Library's Donations Register and relevant library records.

Official Acknowledgement

Official acknowledgement letter issued upon acceptance of eligible items.

Public Recognition

Significant donations recognized in Library or University communications (with permission).

Donations Register & Library Records

Donor information will be permanently recorded in the Library's Donations Register and relevant library records.

Policy Terms

Important Note

Once materials are accepted, ownership is transferred to the Open University of Sri Lanka. The library reserves the right to determine their selection, cataloguing, location, access, preservation, retention, withdrawal, transfer or disposal in accordance with Library policies and collection development requirements. Accepted donations cannot subsequently be returned to the donor.

Delivery Requirement The donations must be delivered to the library.
